Summary

As conclusion, according of the three topic that I was choose and discuss briefly about the topic of , HRIS system architecture, human resources recruiting and staffing and web based employee self-service there are a lot of information that I learn from the topic. The three of the topic is important to HRIS or HR process.
            From the topic HRIS system architecture, what I can conclude is Single Integrated System Model are considered as most advanced HRIS architectural model, and balances between the locally and centrally controlled, the organization should not be globalize all the HRIS functions.
Second topic that I was discussed is human resources recruiting and staffing. From this topic there are advantages and disadvantages of using internet on recruitment process. The organization need to analyze whether using online recruitment can be appropriate or not to apply at their place. It is true that it can reduce cost and cycle time to fill up the vacancy positions, but it can be burden to analyze a lot of applications.

Lastly, web based employee self-service, according from this topic I can conclude that there are also advantages and disadvantages using the self-services portal. I have understand that ESS systems helps an employee and a manager to simplify their work. Such as employee will be able to directly view and update personal data at any time from any place that has access to the network, whenever it is convenient for them. Besides, for a manager it will be easier for them to keep in touch with their staff regarding with their training needs, leave activities, payroll data and it will be easier for the manager to do some checking and correction on their employee’s information.

Human Resources Recruiting and Staffing


After Dr. Roya class, I have clearly understands what is Human Resource Recruiting and Staffing. E-Recruitment is the one of the example of recruiting system that was used by the company nowadays. E-Recruitment system which is stands for online job application and processing system for employers to advertise their job opening and for candidates to submit their application via the internet. E-Recruitment are also the process of personnel recruitment using electronic resources in particular the internet.
                                                      
As officer of HR who will use the system e-recruitment is important to know the components of online recruitment, which are input, HRIS database and Output. In input, the organization have to make a details for the requirement that need by vacancy position, then, it would go for HRIS database where the data provided by organization being stored in the database. Once it been keep in database, we can see the output which is it appear on the recruiting subsystem, which advertise the requirement that the organization need thus will help the applicant see the information given.

E-Recruitment is very good for the organization to implement this system in order to do recruiting and staffing process. According to Lukaszewski K.M, Dickter D.N, Lyons B.D, and Kehoe J.F, (2011), using online recruitment can save 95% of recruitment cost other than traditional method. However, the issue is, for some of the company, online recruitment not suitable. It would generate a lot number of resumes compared to the number of vacancy. This would be burden for the management to screening all of the application.

It is important issues that we have to think whether this online recruitment are actually win-win situation or not for the job applicants and organization itself? The advantages of online recruitment is cost effective, quick, gives you a better chance of success, gives you a bigger audience and easy or very user-friendly. However, it is have their own disadvantages such as, to many candidates and it won’t always work, that mean every job vacancy you post can or will be filled online. There will always be difficult-to-fill jobs that can only be filled by recruitment consultants, headhunters or in other ways.
Online recruitment or e-recruitment offers clear advantages over traditional recruitments methods. At the same time, however, the disadvantages inherent in online recruitment if only to avoid the pitfalls that they may produce.

Web Base Employee Self-Services


According this topic I have learned about the employee self-services (ESS) that provides an electronic means for a company’s employees to access its HR services and information. Employee Self Service (ESS) is a combination of technology and organizational change that enables users to interact directly with their human resource data to inquire, review and act upon transactions in the workplace. Besides that, I have learned Manager Self-Services (MSS) portal that are becoming more prevalent in organizations as well. With this application managers can view performance appraisal, subordinates salaries, productivity, and training histories and model annual salary increases.
            ESS creates a single, secure repository for confidential HR information and processes. It provides an easy-to-navigate environment that is accessible by all employees, regardless of where they are located 24 hours a day, 7 days a week. Access rights for each employee are established by HR and are typically determined by the employee's position in the company organizational hierarchy, department, and key job functions.
            Self-services portals provide several advantages for achieving HR administrative goals. The first advantages of ESS are they improve the speed and quality of services to employees and managers, simplifying routine inquiries and changes in particular. Besides that, ESS enhance employee satisfaction by permitting employees to control when and where such access activities occur. In addition, self-services portals facilitate easy, increased access to HR information, helping employee ensure that important personal data are accurate and current. Moreover, managers use this more accurate, timely information contributes to improved managerial decision making. Lastly, ESS help reduce the number of transaction for HR employees and correspondingly, overall HR costs.
            However the disadvantages of ESS are. First, permitting employees to access company data through self-services portals may increase the possibility of security breaches and the associated negative outcomes for affected employees, including identity theft. Moreover, employees are concerned that even having their data in a company’s HRIS can lead misuse of such information by others in the organization.
                         As conclusion, from the lesson that I’ve learned with Dr Roya I have understand that ESS systems helps an employee and a manager to simplify their work. Such as employee will be able to directly view and update personal data at any time from any place that has access to the network, whenever it is convenient for them. Besides, for a manager it will be easier for them to keep in touch with their staff regarding with their training needs, leave activities, payroll data and it will be easier for the manager to do some checking and correction on their employee’s information.

HRIS SYSTEM ARCHITECTURE


The next topic that I want to discussed are about the HRIS System Architecture. This topic is important on the HRIS. There are three basic systems architecture commonly found in HRIS and each of the system play a different role for an organization. They are Standalone System Model, Data Warehouse Model, and Single Integrated System Model.  These entire 3 model are still closely related to the 3 different model that I have learned before which is Multinational, Global and Transnational Model. Another point that we have to take into account is how the HR Service is functioning in the model.
           
            On the class of Dr. Roya, she was explain that Standalone system model are the system or model that the organization run its own independent system with no integration. On the other hand, Data warehouse model are more advanced architectural model and all operating use the same software system. Single Integrated Model means that there is no need for a separate reporting database because everything was linkage between each other (networking). Eventhough, that there is some other organization that rather chooses for another system in order to separate transaction processing. Moreover, the other advantages that we can get by using this model are using the same screens worldwide, with appropriate changes for different languages in different countries.

            I also get the information from this topic, that most company that will be using the Single-Integrated model is the Global and Transnational HRIS Company. Besides, all of their engineering centers were reorganized to report centrally to a worldwide engineering function. If the reports that are receive from a different region, it will consist of different language. By using the Single-Integrated model system, it could simplify the process, because even the language is different. By using the system it could translate the language that they receive from the other region. This could be consider as one of the advantages of using this system.  This is the reason why they need to use single-integrated model.

Introduction


For this semester I have learned the subject of Human Resources Information System (HRIS). According to this subject our lecturer Dr. Roya have give an assignment to fulfill the requirement of the subject. The assignment that we must do is we need to do a reflection about the topic that we have learned on the previous class. We must discuss or explain briefly what we have understood about the topic given. We are also need to choose three from six of the topic that was given by the Dr. Roya. I choose three topics that I want to explain briefly from what I was understand about the topic. The topic that I choose are HRIS systems architecture, Human Resources recruiting and staffing and lastly, web based employee self services. For the next post or entry I will explain briefly about the topic that I was choose.
For your information HRIS can be briefly defined as integrated systems used to gather, store and analyze information regarding an organization’s human resources (Hedrickson, 2003, p.381). besides that, HRIS  “One which is used to acquire, store, manipulate, analyze, retrieve and distribute information about an organization’s human resources.” (Tannenbaum 1990). HRIS is very interesting subject that we must learn in order to “master” of the knowledge of Human Resources.
